Admissions Coordinator

You’ll serve as a steady guide for individuals and families, helping them navigate admissions with compassion, clarity, and purpose. The Peer/Clinical Case Manager will combine the lived experience of recovery with hands-on case management to help clients navigate their recovery journey. You’ll support clients in both clinical coordination and real-world life needs — from transportation and housing to emotional guidance and crisis support.
Job Description:
This position involves guiding clients through the intake process, collecting and verifying essential information, securing insurance authorizations, and ensuring a smooth transition into treatment. The Admissions Coordinator also maintains accurate documentation, supports quality improvement initiatives, and collaborates with clinical and operational teams to provide a professional, compassionate, and efficient admissions experience.The Admissions Coordinator is responsible for managing the full intake process—from first call to orientation. This includes pre-admission screenings, insurance verification, coordination with clinical and billing teams, CRM management, and ensuring that every new client feels informed, safe, and supported. You will also help keep our front office running smoothly and contribute to a culture of relentless follow-through and high-touch care.
Key Responsibilities:
  • Conduct phone and in-person pre-admission screenings
  • Collect and input all client demographic, clinical, and insurance information
  • Verify insurance benefits and coordinate with billing
  • Guide families and clients through expectations and program orientation
  • Maintain accurate and up-to-date records in line with DBHDS and CARF standards
  • Track and manage all inquiries using CRM
  • Collaborate daily with clinical and administrative teams
  • Ensure front office is clean, stocked, and welcoming
  • Participate in staff trainings and quality improvement efforts

Qualifications:
Experience/Education icon
Experience
  • Minimum 2 years of sustained recovery
  • Preferred: Experience in a treatment or outpatient setting
  • 2+ years of outreach, community relations, or marketing experience in behavioral health, healthcare, or human services
  • High school diploma or GED required; Associate’s or Bachelor’s degree preferred
  • Minimum 2 years of experience in admissions, case coordination, or behavioral health
  • Familiarity with CRM platforms and insurance verification processes preferred
  • At least 3+ years of experience working in a behavioral healthcare or mental health setting
  • Proven track record in regulatory compliance, quality assurance, or auditing
  • Familiarity with Virginia DBHDS, CARF, Medicaid, and HIPAA standards

  • Certified Peer Recovery Specialist (CPRS – Virginia)
  • Must pass background check and drug screening
  • Valid driver’s license and reliable transportation
  • Willing to work flexible hours, including occasional evenings and weekends
  • Must be able to commute or relocate reliably to Norfolk, VA
  • Background check and drug screening required upon hiring
License Requirement:
  • Bachelor’s or Master’s degree in Healthcare Administration, Behavioral Health, Public Health, Compliance, or related field
  • Certification in Healthcare Compliance (CHC) or similar credential is a plus
